Job Type: Temporary Full-Time (temp to hire)

Pay: $60,000.00 – $65,000.00 per year DOE

Overview of Responsibilities: This position is primarily responsible for all development accounting including project cost tracking and reporting, processing of project A/P, and construction draw processing for both new construction and renovation / remodel projects. This position may be responsible for tracking and leading cash planning meetings for development pipeline projects. The position may also prepare various financial & tax projections, coordinate & assemble due diligence materials and maintain asset management analysis summaries for each project as part of the Accounting Team. The position manages and executes the financial reporting, budgeting, forecasting and cash flow for the Property.

Preconstruction Development Pipeline Project Accounting:

  • Coordinate with accounting teammates on system of project tracking, assignment of project numbers and the establishment of new companies within Dynamics.
  • Coordinate with Development and Asset Management teammates to track and report projected cash needs for all projects in the development pipeline on a monthly basis.
  • Track project costs, process invoices and prepare journal entries to appropriately reflect all development project costs and activities from inception through start of new company.

Project Cost Tracking and Accounts Payable Processing:

  • Review project invoices for appropriate coding and process for payment.
  • Prepare and enter project related journal entries to accurately account for all project costs.
  • Manage the monthly construction draw process with teammates, lenders and the title company including the preparation of sworn owner statements.
  • Ensure all required contractor / subcontractor Certificates of Insurance are on file and current.
  • Track assigned project budgets and lead monthly budget meetings to identify and discuss any cost/budget issues.
  • Prepare year end work papers for development projects to facilitate the tax return preparation.
  • Organize project cost information to assist with preparation of cost segregation studies.
  • Reconcile project budget and final cost reports and prepare final close-out in Budgetrac.
  • Communicate with leadership team at new properties to train on chart of accounts, and general A/P process.
  • Coordinate with the Accounting teammates to transition property accounting and A/P processing after property opening.

Project Accounting:

  • Responsible for the processing, reviewing, tracking and general ledger posting of construction costs for multiple projects.
  • Communicate with project managers, vendors, and external parties to manage invoice payment process
  • Assist with lien waiver maintenance and subcontractor insurance verification.
  • Work with Construction Accountants to capitalize completed projects.
  • Develop training manual for new employees (construction process)
  • Answer inquiries and perform job cost analysis and reporting as needed.
  • Provide ad hoc projects as needed

Remodels and Annual Capital Budgets:

  • Track all project costs and budgets for remodels and renovations, including processing of all related invoices and lead periodic budget meetings to identify and discuss any cost/budget issues.
  • Coordinate with Accounting & Asset Management teammates in advance of remodel projects to reconcile project budgets against capital reserves to help identify sources of capital.
  • Ensure all required contractor / subcontractor Certificates of Insurance are on file and current.
  • Update and maintain annual asset management summary for each property under management.

Commercial Property Accounting:

  • Ensure leases are abstracted accurately and entered into Budgetrac in a timely manner;
  • Ensures cash receipts are recorded daily in the accounting system;
  • Process late fees, interest charges, billing adjustments and other charges as directed by G M;
  • Monitor tenant AR account details for non-payments, delayed payments and other irregularities, and assist GM in identifying collection issues;
  • Run weekly funding request to owner for each check-run batch;
  • Process AP and code according to approved budget;
  • Review and ensure property expenses are properly recorded in a timely manner;
  • Ensure the sub-ledgers reconcile to the general ledger on a monthly basis;
  • Financial Statements: Responsible for recording all transactions including accruals and reclassifications in accordance with GAAP and applicable regulations;
  • Maintain internal controls, monitor controls at the property level, and makes recommendations for improvements when necessary;
  • Assist with preparation of annual budget and forecasts projections. Understand the income and expense portion of the annual operating budget and research monthly variances to budget in conjunction with the G M to provide accurate variance explanations;
  • Reconcile monthly bank statement;
  • Prepare the CAM Reconciliations for GM to review;
  • File year-end taxes, 1099’s, Gross Receipts and Prop “C” taxes;
  • Provide ad hoc analysis and reporting as needed.

Other Duties:

  • Monitor and enhance current systems/processes for project accounting.
  • Train development teammates as needed on accounting and budgeting system software.
  • Maintain legal entity listings in including annual entity filings, dissolutions and updates.

Essential Skills and Experience:

    • Interpersonal, verbal and written communication skills
    • Ability to work within a team-based environment
    • Ability to handle multiple tasks
    • Planning and organizational skills
    • Preference for construction or real estate development experience
    • Technical Skills preferred – Microsoft Word, Excel, Outlook
  • Must have a BA or BS in Accounting or Business Administration
  • Yardi Experience a “Must”
  • 3-5 years in Commercial Real Estate property management accounting or experience in accrual-based accounting for commercial and retail properties
  • Experience with preparation of CAM reconciliations for commercial real estate projects
  • Thorough understanding of generally accepted accounting principles and fixed asset accounting
  • Experience with preparing financial statements and monthly variance analysis
  • Understanding of real estate tax issues
  • Willing to learn basics of Budgetrac

Working Relationships:

  • Works and collaborates with finance and development teammates.
  • Interacts with Property Management
  • Reports to Financial Controller

Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand, walk and drive.

The employee must occasionally lift and/or move up to 20 pounds.
