This position is responsible for executing the financial reporting, budgeting, forecasting and cash flow for MHDC Commercial Properties. We are looking for a strong team-player who is comfortable interacting with the Management Team and occasionally with Tenants and Vendors. The position may also prepare various financial & tax projections, coordinate & assemble due diligence materials and maintain asset management analysis summaries for each portfolio.

Essential Duties and Responsibilities:

  • Manage and maintain the books for a growing, complex office and commercial asset portfolio in Budgetrac;
  • Ensure leases are abstracted accurately and entered into Budgetrac in a timely manner;
  • Process monthly billings, receipts, late fees, interest charges, billing adjustments and other charges as directed by Asset Manager;
  • Monitor tenant AR account details for non-payments, delayed payments and other irregularities, and assist AM in identifying collection issues;
  • Research and resolve complex past due balances;
  • Financial Statements: Responsible for recording all transactions including accruals and reclassifications in accordance with GAAP and applicable regulations;
  • Ensure the sub-ledgers reconcile to the general ledger on a monthly basis;
  • Maintain internal controls, monitor controls at the property level, and makes recommendations for improvements when necessary;
  • Assist with preparation of annual budget and forecasts projections. Understand the income and expense portion of the annual operating budget and research monthly variances to budget in conjunction with the AM to provide accurate variance explanations;
  • Reconcile commercial property operating bank accounts;
  • Prepare the CAM Reconciliations for AM to review;
  • Assist in year-end taxes, 1099’s, Gross Receipts and Prop “C” taxes;
  • Provide ad hoc analysis and reporting as needed;
  • Maintain accounts payable workflows by setting up vendors, properties, and expense allocation templates;
  • Review and ensure property expenses are properly recorded in a timely manner and according to budget;
  • Act as gatekeeper and “go to” A/P specialist for off-site asset managers and property managers regarding commercial property invoices;
  • Run weekly funding request to owner for each check-run batch, performs weekly check runs and monitor ACH payments as needed;
  • Manage vendor communication and relationships for outsourced functions.

Required Skills, Abilities & Qualifications:

  • Excellent verbal and written communication skills are necessary to succeed at this position;
  • Experience with an Enterprise property management software;
  • Proficiency with Excel and MS Word;
  • Excellent organizational and analytical skills;
  • Must be hands-on, detail-oriented and possess the ability to look at the big picture;
  • Ability to work independently and proactive planning are needed in this position.

Preferred Skills, Abilities & Qualifications:

  • BA or BS in Accounting, graduating Seniors may be considered;
  • Yardi or other Enterprise Property Management software experience;
  • 1-2 years in Commercial Real Estate property management accounting or experience in accrual-based accounting for commercial and retail properties;
  • Experience with preparation of CAM reconciliations for commercial real estate properties;
  • Thorough understanding of generally accepted accounting principles and fixed asset accounting;
  • Experience with preparing financial statements and monthly variance analysis;
  • Understanding of real estate tax issues.
